The City of Copenhagen’s Office of Taxation and Civil Registration handles administration of property taxes and official records of its 500,000 citizens from birth to death (with marriage, divorce, address and name changes, etc., in between). The Office employs 900 at locations around the city.
Keeping track of the capital city
Copenhagen’s Office of Taxation and Civil Registration keeps track of the city’s half million inhabitants’ comings, goings – and property taxes. Like other public administration offices, they face increasing demands for higher service levels and lower costs.
The municipal government office is in constant contact with citizens. Managers in three departments are held accountable for meeting performance goals on time and efficiently. To help ensure this, management decided to warehouse the organization’s data and acquire a tool for analysis and reporting.
Several criteria stipulated
When choosing a solution, both ease of use and cost were primary considerations since the software was to be rolled out through the entire organization. Total cost of ownership issues included usage rights and license conditions, setting up interfaces with existing systems, training and maintenance.
Management chose TARGIT Business Intelligence Suite. Shortly after implementation, the office was already using the system for a variety of detailed analyses of salary costs, time registration and absenteeism. TARGIT is also routinely used for reporting on costs, profitability and other key figures.
Whereas managers used to compare a number of paper reports at the end of the month, they now instantly pull more powerful – and up-to-date – views of the organization’s performance from data warehoused in the Office’s MS SQL server.
Staff positive
In an organization with 900 potential users, positive reception from all staff groups is critical. Top and middle management as well as union representatives all agreed that TARGIT Business Intelligence Suite was a good tool for analyzing and presenting data. Importantly, they found that keeping a close eye on agreed individual and departmental targets became easier with TARGIT.
In the future, the Office plans to use TARGIT to prepare presentations of individual employee costs and productivity. These reports will be taken into consideration during performance reviews and salary negotiations. And all staff will be able to follow their development on an ongoing basis.
Based on its positive initial experience with TARGIT Business Intelligence Suite, the Office of Taxation and Civil Registration has already presented TARGIT tools to other administration departments of the City of Copenhagen.
